3. What is personal information?

Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable. It may include a person’s name, email address, telephone number, account information, location preferences and online identifiers.

4. Personal information we collect

Depending on how you use Grain Hero, we may collect the following information.

• Account and identity information: name, email, telephone, authentication details, account type and status, organisation or buyer association, role or authority, and verification information.
• Grower profile information: postcode, general location, search distance, preferred commodities and grades, market or delivery types, saved and recent searches, tracked bids, onboarding selections and preferences. We do not require a precise farm address unless necessary for a specific feature and clearly requested.
• Buyer and business contact information: buyer organisation, contact name, role, business email and telephone, buyer locations, responsibilities, contact routing, public or primary contact status, and registration or approval details.
• Bid and marketplace information: information submitted through accounts, buyer identity, source or upload information, timestamps, publishing records, changes, statuses and imported-file information. Business information may become personal information where linked to an individual.
• Support and communication information: support requests, enquiries, feedback, correspondence, issue reports, deletion requests, surveys and communication records.
• Technical and usage information: IP address, browser and device type, operating system, approximate IP location, browser timezone, pages viewed, actions, referral source, sessions, access times, error and performance logs, and security events.
• Cookies and similar technologies: cookies, local storage and similar tools may keep users signed in, maintain sessions, remember preferences, protect security, understand usage, diagnose errors and improve performance. Where legally required, we will provide appropriate notices or controls.

5. How we collect information

We may collect personal information directly from you; when you create or update an account; when you search, save preferences or track bids; when you contact us; when you submit or manage bids; from an authorised representative; from buyers, administrators or authorised users; from publicly available business sources; through imported files, price sheets or feeds; automatically when you use the Platform; and from service providers that help operate it.

• Create and administer accounts, authenticate users and protect account security.
• Approve or associate buyer accounts and provide search and price-discovery features.
• Personalise searches, save preferences, and provide tracked-bid and saved-search features.
• Display relevant buyer contact information and route users to appropriate contacts.
• Import, validate, match, publish and manage bids and provide buyer and administrative portals.
• Communicate with users, provide support, investigate errors or misuse, maintain audit records and improve performance.
• Protect systems and users, enforce our Terms, comply with legal obligations, and establish, exercise or defend legal claims.
• Use de-identified or aggregated information for analytics, research, reporting and product improvement.

7. Direct marketing

We may send marketing or product communications where you have consented or where otherwise permitted by law. You may unsubscribe using the link in the communication or by contacting hello@grainhero.com.au. Necessary account, security, legal and service communications may still be sent.

8. When we disclose personal information

We may disclose personal information to Grain Hero personnel and representatives; buyers where needed to facilitate direct contact; hosting, database, authentication, cloud, email, analytics, security and technical-support providers; professional advisers; regulators, law-enforcement bodies or government agencies where required or authorised; a purchaser or prospective purchaser in a business sale or restructure; and other parties with your consent or at your direction. We do not sell personal information to advertisers or data brokers.

9. Public and business contact information

Information associated with buyer organisations may be visible to Platform users, including organisation name, business location, telephone, email, relevant contact name, role and commodity or location coverage. Buyer organisations must ensure they have authority to provide contact information for display. A buyer contact wishing to update or remove details may contact us.

10. Service providers

Grain Hero uses or may use providers for hosting, databases and authentication, file storage, email delivery, analytics, error monitoring, mapping, backups and security, including Supabase, Vercel and other providers selected as the Platform develops. Providers handle information according to their contractual obligations and privacy practices.

11. Overseas disclosure

Some service providers may store or process information outside Australia, including in the United States and other countries depending on provider and service configuration. Where required, we take reasonable steps to ensure overseas recipients handle personal information consistently with applicable Australian privacy requirements.

12. Data retention

We retain personal information only as reasonably necessary to provide services, maintain security and audit records, resolve disputes, enforce agreements, meet legal, accounting and regulatory obligations, and maintain necessary backups. When information is no longer required, we take reasonable steps to delete, destroy or permanently de-identify it. Backup copies may remain for a limited period.

13. Account deletion

You may request deletion of your Grain Hero account using any available account-deletion feature or by emailing hello@grainhero.com.au. We may verify your identity. Deletion may not immediately remove information required by law, security and audit records, dispute records, de-identified information, temporary backups or business records lawfully retained for a buyer organisation. Where appropriate, we may deactivate or anonymise information.

14. Data security

We take reasonable technical and organisational steps to protect personal information against misuse, interference, loss, unauthorised access, modification and disclosure. Measures may include authentication and access controls, role-based permissions, encrypted connections, managed cloud infrastructure, logging, monitoring, backups, software updates and restricted administration. No online service can guarantee absolute security. Keep your password secure and notify us of suspected unauthorised access.

15. Data breaches

If a data breach occurs, we will investigate and respond in accordance with applicable law. Where the Notifiable Data Breaches scheme applies, we will notify affected individuals and the OAIC when an eligible breach is likely to result in serious harm.

16. Access to personal information

You may request access to personal information we hold about you by contacting hello@grainhero.com.au. We may verify your identity. In some circumstances, law may permit or require us to refuse access; where permitted, we will explain why. We will respond within a reasonable period.

17. Correction of personal information

You may request correction of personal information that is inaccurate, out of date, incomplete, irrelevant or misleading. You may update some information through your account. For other corrections, contact hello@grainhero.com.au.

18. Location and distance information

The Platform may use a postcode you provide, saved preferences, buyer and delivery locations, browser timezone, approximate technical location or device location where expressly permitted. This may show nearby bids, calculate approximate distances, personalise results, display local times and route users to relevant contacts. Distance figures are estimates and may not reflect actual road, freight or delivery distances.

19. Children

Grain Hero is intended for adults and people authorised to conduct or assist with grain-related business activities. We do not knowingly seek personal information from children under 16. Contact hello@grainhero.com.au if you believe a child has provided information.

20. Third-party links

The Platform may contain links to buyer websites, contact methods or third-party services. We are not responsible for third-party privacy practices. Review their privacy policies before providing personal information.

21. Complaints

Provide enough information for us to investigate. We will acknowledge and investigate complaints within a reasonable period. We may update this Privacy Policy to reflect changes to the Platform, service providers, information-handling practices or legal developments. The latest version will be published with an updated date. Where changes are material, we may notify registered users through the Platform or by email.
